The following Terms and Conditions apply to all bookings made at The Bellachroy Hotel (the “Hotel”, “we” or “us”). You are responsible for ensuring that each person who stays at the Hotel under your booking, even if you make a booking for someone else’s benefit and don’t stay yourself, complies with these Terms and Conditions. Please therefore take a moment to read them before completing a booking:
1. Prices
1.1. All prices shown are per room per night (unless otherwise stated). Prices include Value Added Tax (VAT) at the current prevailing rate.
1.2. All prices quoted are subject to availability and are based on the number of adults sharing, as stated in the room tariff.
1.3. Prices do not include any incidental charges which you may incur during your stay (including, for example, in respect of your use of the Hotel’s bar and/or the cost of external telephone calls from the Hotel phone). Such charges will be payable by you on or before your departure and, in the event that you fail to pay any such incidental charges, it is a condition of these Terms and Conditions that you irrevocably authorise us to debit your credit or debit card for the amount of any shortfall.
1.4. Price lists for additional items, such as restaurant meals and drinks, are on display at relevant locations within the Hotel and are available on request.
2. Check-in/ Check-out Requirements
2.1. In the interests of security and to prevent fraud, at the time of check-in, you may be required to confirm your identity by providing your booking reference; your passport/identity card/driving licence; and a valid credit or debit card which will be swiped in the presence of the card holder.
2.2. Unless otherwise stated on the booking confirmation, you may check-in at any time from 3:30pm on the scheduled day of arrival. All rooms that have been secured by credit/debit card or prepaid at the time of booking will he held until 11:59pm on the scheduled day of arrival unless otherwise agreed with us.
2.3. On the day of departure we kindly ask that you vacate your rooms by 10.00 am (unless a later departure is stated as part of your booking). Late check-out after this time can be requested subject to availability, and will be charged at the discretion of the Hotel.
3. Payment
3.1. We accept most major Credit / Debit cards: Visa, Mastercard, Maestro.
3.2. All bookings at The Bellachroy Hotel must be guaranteed with a credit card / debit card at the time of booking. No charge will be taken from the card at this stage; this is to confirm the room.
3.3. Full payment can be made by card, cash or guaranteed cheque on departure. All outstanding charges must be paid for by you in full on check-out.
4. Cancellation Policy and No Shows
4.1. In the unfortunate event that you need to cancel your reservation with us, the following cancellation charges will apply:
Within 2 weeks prior to arrival – 50% of total booking value
Within 7 days prior to arrival – 75% of total booking value
Within 2 days prior to arrival – 100% of total booking value
4.2. We will endeavour to re-sell the room where possible and if successful, no cancellation charge will be made. We are not, however, under any liability to re-sell your room.
4.3. You are advised to take appropriate insurance cover in the unlikely event of an emergency or illness.
5. Changes or Cancellation by the Company
5.1. Very occasionally we may need to cancel your booking. In such circumstances you will be given a full refund but we shall have no further liability to you arising out of such cancellation.
6. Accessibility
6.1. If you or any member of your party has any medical problem or disability that may affect your stay with us, please tell us as early as possible before you travel.
6.2. For all rooms located on first and second floors, access is by stairway only. Please contact us before booking to discuss any specific individual requirements and the availability of appropriate accommodation, and we will do our best to accommodate your needs.
7. Parking
7.1. Cars and their contents are left at the owner’s own risk. We do not accept responsibility for loss or damage (save as may not be excluded or restricted by applicable law).
8. Damage
8.1. If you or any member of your group cause damage or loss of any kind to the Hotel, other guests or their property, you (as the person making the booking) will be responsible for that damage or loss and you shall be liable to pay on demand the amount required to make good or remedy such damage or loss.
8.2. We reserve the right, and you hereby irrevocably authorise us, to charge your credit or debit card for any damage incurred to your room or the Hotel during your stay (including without limitation specialist cleaning) or for any items that are missing when you leave.
9. Guest Behaviour
9.1. The Hotel is a no smoking venue and you are not permitted to smoke in your rooms or in any public areas.
9.2. You and any member of your group are requested to conduct yourselves appropriately at all times and to comply with our requests with regard to conduct and respect for the property of the Hotel, our employees and guests, and their health and safety. You are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the Hotel, or cause offence to our other guests or members of staff. We reserve the right to refuse accommodation or services, or remove you and any members of your group from the Hotel if, in our reasonable opinion, we consider that you are in breach of this provision. Where this is the case, we shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.
10. Children
10.1. All persons under 16 years of age staying at the Hotel must be accompanied by an adult and must be supervised by an adult at all times.
10.2. Cots and extra beds are available, subject to availability. Please check with us at the time of booking.
11. Pets
11.1. We are a dog friendly hotel and we welcome all well behaved dogs (up to 20kg). You are requested to ensure that your dog is supervised at all times and we reserve the right, and you hereby irrevocably authorise us, to charge your credit or debit card for any damage caused by your dog. Furthermore, we reserve the right to refuse accommodation or services if, in our reasonable opinion, your dog is disrupting the comfort and enjoyment of our other guests. Where this is the case, we will have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.
12. Events outside our control (Force Majeure)
12.1. We accept no liability and will not pay any compensation where the performance of our obligations is prevented or affected directly or indirectly by or as a result of any circumstances beyond our reasonable control including, but not limited to, flood, earthquake, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism, fire or failure of electric power, gas, oil, water, or other utility service, plant machinery, computers, vehicles or any collapse of building structures.
13. Governing Law and Jurisdiction
13.1. These Terms and Conditions and any non-contractual obligations arising in connection with it are governed by Scottish law. The Scottish Courts have exclusive jurisdiction to determine any dispute arising in connection with the Contract, including disputes relating to any non-contractual obligations.
